Registering a large number of
Online Hazmat School Students

For the convenience of corporate customers with large student populations we are making it possible to register students in our leading edge online and classroom hazardous materials training classes through the processing of a data file. This means that companies with employee data already in an electronic database can avoid the hassle of manually entering each student on a registration form. Instead they can request from their database administrator an electronic file extracted from the company database that already has the information needed to register the students. The file can then be sent to us via email and processed automatically, resulting in fewer errors and rapid access to our online training. Alternately, the Hazmat customer can use a Microsoft Excel ’97 spreadsheet or Access ’97 database (see below), fill in the necessary information and return it by email.

Elegibility for Bulk Electronic Student Registration

To use this procedure to register a large number of students, the company requesting this service must already have a training account with the ABAG Training Center. You will be provided with a training center account number that you will include when you transmit the student registration file. File Formats Which Can Be Used for Registration

The file can be transmitted as any of the following types:

  1. Microsoft Access ‘97. Please download a copy of the appropriate Access database by clicking here.
  2. Microsoft Excel ’97. Please download a copy of the appropriate Excel spreadsheet by clicking here.
  3. CSV (comma separated values). Fields should be in the order given in the appendix. Fields not included should either be represented by an empty data element (""), or the first row of the file should be a list of the fields included.

How to Proceed

  1. If you haven’t already, set up a company account as described above in "Who is eligible…"
  2. Identify which employees will be taking what classes.
  3. Request that your database administrator prepare a file or files in an acceptable format (see "What file formats can be used for registration" above) with the proper employee information. See the appendix at the end for the list of required and accepted fields. Alternately, download an Access or Excel file and fill in the necessary information.
  4. If you have chosen to send a CSV text file with the student registration information, then the transmitting email should contain the following information in the body of the text (information with an asterisk is required):
    1. Company*
    2. Address*
    3. Suite etc
    4. City*
    5. State Or Province*
    6. Postal Code*
    7. Country
    8. Training Center account number*
    9. Training Officer name
    10. Training Officer email address
  5. By default, each student will be sent an email message with their Hazmat School login name and password and information on how to access the online training software. If you would prefer you may request one or more of the following options if noted in the body of the transmitting email:
    • send the student login and access information to the students’ supervisor also, one email with all login names and passwords
    • send the student login and access information to the training officer also, one email with all login names and passwords
    • send the student login and access information to the training officer or supervisor only, not to the students, one email with all login names and passwords
  6. Send the registration email with the registration file(s) as attachment(s) to: sharonm@abag.ca.gov and include ‘Student Registrations’ in the subject line of the email.

Bulk student registration files will usually be processed within 24 hours (not including weekends) of receipt at the ABAG Training Center.

 Note: If the sender is unable to parse the address information into separate fields for address and supplemental information (suite, mailstop, building etc.) they should just send it as they have it.
